I just wanted to ask, how and when do we organise play testing? Is it just something we can ask members to do? Or is it only allowed a certain number of weeks before the deadline?

As far as I know, playtesting can be whenever. What's important is that your case is not set to public, and that your playtesters aren't participants.
The playtesters should just make sure not to talk about the competition cases they've played to other contestants.
